Connecting Swipey to your accounting software means every transaction syncs automatically — no manual data entry, no chasing receipts at month end. Swipey currently integrates with QuickBooks Online and Xero.
Choose your accounting software below and follow the steps.
Before you start: You’ll need Admin or Bookkeeper access on Swipey, and Admin access on your QuickBooks or Xero account.
Connecting QuickBooks Online #
Step 1: Set Up Your Swipey Accounts in QuickBooks #
Before linking, you need to create two accounts in QuickBooks — one for your Swipey Master Account and one for your Swipey Cards. This is a one-time setup.
Log in to your QuickBooks account. Go to Transactions → Chart of Accounts → click New.
Step 2: Create Your Master Account Ledger #
Select Cash and Cash Equivalents as the account type — Swipey funds are cash company funds. Name this account Swipey MYR Virtual Account. If you have an existing balance in your Swipey master account, enter it here. Click Save and Close.
Step 3: Create Your Cards Account Ledger #
Click New again and repeat the same steps to create a second account for your Swipey cards. Name this Swipey Visa Cards.
Tip: If you want to track each card separately, you can create sub-accounts under Swipey Visa Cards — one per card. Name each sub-account by card number or cardholder name. When creating the sub-account, tick Yes, it’s a sub-account and select Swipey Visa Cards as the parent account.
Step 4: Connect QuickBooks to Swipey #
Log in to your Swipey Admin Dashboard. Click Accounting in the left sidebar, then click Connect to QuickBooks.
Step 5: Map Your Swipey Accounts #
Once connected, you’ll be asked to map your Swipey accounts to your QuickBooks ledger. Select the accounts you created in Steps 2 and 3 — one for your Master Account and one for your Cards Account. Once both show a green Linked label, you’re connected.
⚠️ Important: Do not disconnect your QuickBooks account after linking. Disconnecting may cause changes not to be saved on Swipey.
Connecting Xero #
Step 1: Set Up Your Swipey Accounts in Xero #
Log in to your Xero account. Go to Accounting → Chart of Accounts → Add Bank Account → Add without Bank Feed. Create one account for your Swipey Master Account and repeat for your Swipey Cards Account.
Step 2: Connect Xero to Swipey #
Log in to your Swipey Admin Dashboard. Click Accounting in the left sidebar, then click Connect to Xero.
Step 3: Map Your Accounts #
After connecting, use the dropdown menus to map your Swipey Master Account and Swipey Card Account to the accounts you created in Xero. Transactions will sync to these accounts respectively.
Syncing Transactions #
Once connected — whether on QuickBooks or Xero — syncing your transactions works the same way.
Step 1: Go to Accounting #
In your Swipey dashboard, click Accounting → Swipey Cards. You’ll see all transactions that are ready to be synced.
Note: Currently, only card transactions can be synced. Bill payment and master account transactions are not yet supported for sync.
Step 2: Categorise Each Transaction #
For each transaction, select an Expense Category (e.g. Equipment Rental, Marketing) and choose the correct Payment Account — this should match the card or sub-account you set up in your accounting software.
Step 3: Select and Sync #
Once categorised, click Select on the right-hand column to choose the transactions you want to sync. When ready, click Ready to Sync in the top corner. Review the details one final time, then click Sync.
Step 4: Confirm Sync is Complete #
Successfully synced transactions will appear under Completed.
For Xero users: Transactions are split into two types:
- Expense = card transactions and bill payments
- Internal Transfers = master account fund movements (deposits, top ups, clawbacks)

Do I need to set up the QuickBooks or Xero accounts before connecting to Swipey?
Yes — you need to create the cash accounts in your accounting software first before you can map them in Swipey. Follow Steps 1–3 for your chosen platform before connecting.
Can I track each Swipey card separately in QuickBooks?
Yes. Create sub-accounts under your main Swipey Visa Cards account — one per card. Name them by card number or cardholder name for easy identification.
Which transactions can be synced?
Currently only card transactions can be synced. Bill payment and master account transactions are not yet supported.
What happens if I accidentally disconnect my QuickBooks account?
Disconnecting may cause unsaved changes. Reach out to us on WhatsApp immediately and we’ll help you resolve it.
Can a Bookkeeper sync transactions?
Yes. Bookkeepers have access to the Accounting tab on the web dashboard and can view and sync transactions.
