The best expense management software for a Malaysian business combines company cards, automatic receipt capture, approvals and accounting sync. If your team still pays out of pocket and claims it back, a claims tool will do. If you want to stop reimbursements altogether, you need cards in the same system as the receipts.
This guide compares four options on what they do, what they cost and who they suit. We're Swipey, so we've stuck to facts each vendor publishes on its own site, linked below.
At its simplest, it replaces paper claim forms and spreadsheets. Most tools cover some or all of these:

Swipey puts the card and the receipt in the same place. Give every employee, tool or supplier its own card with a limit. Staff snap receipts and Alfie, Swipey's AI assistant, matches each one to its transaction. Everything syncs to Bukku, Xero or QuickBooks.
Trusted by 4,000+ Malaysian businesses, which close their books 12x faster and save RM100k a year on average. Watch out for: Swipey is built for Malaysian-registered businesses, so it isn't the pick for entities outside Malaysia.
Airwallex started as a cross-border payments company, and its strength is still multi-currency accounts and international transfers, with cards and spend management on top. Its Malaysia fee schedule lists an Expense Management Service fee of RM15 per active employee cardholder each month.[1] Best for businesses whose main job is moving money across currencies. Watch out for the per-cardholder fee as your team grows.
If you already run your books in Xero, its expense and mileage claims add-on lets staff submit claims straight into your accounting. Xero's Malaysia pricing page lists it as an optional add-on from US$4 a month on every plan.[2] Best for teams happy to keep reimbursing staff. Watch out for: it's a claims tool, so staff still pay first and wait to be paid back. Swipey also syncs with Xero if you want cards on top.
BrioHR is an HR and payroll suite with an Expense Claims module that sets claim limits and links to payroll. Its Malaysia pricing page lists Expense Claims from RM3 a month, with an RM200 monthly minimum per contract.[3] Best for teams that want claims, leave and payroll in one HR system. Watch out for: like any claims tool, it reimburses spend rather than replacing it with company cards.
